Instructions for Participants

We will use Zoom for all sessions and talks during the Conference. Please upgrade your Zoom client app to the newest version.

A PDF version of the conference program with the Conference Zoom link is available for download (password-protected). We will send the password by e-mail.

Online and PDF versions of the Conference Proceedings will be found at the Detailed Conference Program (it becomes available on June 25 with a password).

Please do not share the provided Zoom link with third parties.


Preparations

Please arrange for a suitable environment where Zoom can be used. It is necessary to have a suitable communication device (PC, Tablet, Smartphone, etc.) where the Zoom app is installed and a stable internet connection.


Zoom Connection Test

Presenters and speakers can test the Conference Zoom environment at the times below:

  • June 24th (Thu.) 11:00-14:00

The same Zoom link is used both for the main conference and the testing. Therefore, several people may attempt to test the Zoom environment at the same time. Please follow the first-come, first-served order.


Lounge Area

During the conference, we will enable another Zoom meeting for chats and discussions with other participants. Please join it freely.

Several breakout rooms are available for discussions within a small group.



Detailed Instructions


Instructions for Audience

  • Please make sure that your audio is set to “Mute”, and your video feed is off when you join the Conference Zoom.
  • Please set “First_name Last_name (Affiliation)” as your Zoom screen name. Example: Taro Yamada (Kyoto University).
  • The allotted time for each presentation is 20 minutes, followed by 5 minutes of discussion.
  • Please do not record still frames, video, or sound of the talks and presentations to respect authorship rights.
  • To pose a question during the discussion time, please first use the “raise hand” feature on Zoom. When prompted by the session chair, please switch on your audio and video. After stating your question, please again switch off your audio and video feed. Alternatively, you may type your question in the chat. Then, the session chair will read it out loud.
  • A meeting host might remotely mute or switch off the video feed of participants.

Instructions for Presenters

  • Please make sure that your audio is set to “Mute”, and your video feed is off when you join the Conference Zoom.
  • Please set “Paper ID: First_name Last_name (Affiliation)” as your Zoom screen name. Example: TS6-2: Taro Yamada (Kyoto University).
  • Please join the Zoom meeting 10 minutes before the start of your session to check the connection status.
  • The allotted time for each presentation is 20 minutes, followed by 5 minutes of discussion. A timer will be displayed on the video screen of the technical moderator.
  • At the start of your presentation, please make sure to switch on the audio and video feeds and show the presentation slides via the screen share function.
  • After the discussion is over, please promptly end the screen-sharing and switch off your audio and video feed again.

Instructions for Session Chairs

  • Please make sure that your audio is set to “Mute”, and your video feed is off when you join the Conference Zoom.
  • Please use “Chair: First_name Last_name (Affiliation)” as your Zoom screen name. Example Chair: Taro Yamada (Kyoto University).
  • Please join the Zoom meeting 10 minutes before the start of your session to check the connection status.
  • The technical moderator of the session will host the Zoom meeting. You will be assigned as a co-host during the session.
  • When the session begins, please switch on your audio and video feeds.
  • The allotted time for each presentation is 20 minutes, followed by 5 minutes of discussion. A timer will be displayed on the video screen of the technical moderator.
  • At the beginning of a presentation, please set your audio feed to “Mute”.
  • When a presentation is finished, please switch on your audio feed, and proceed with the discussion following the presentation. If an attendee has raised their hand (by Zoom gestures), prompt them by name to state their question. Questions might be written in the chat. In this case, please read out loud the question.
  • To keep the session on time, you can urge the presenters and participants to continue their discussions in the Lounge Area after the session.
